Foundation Seeks Administrative Assistant

Hours: 9:00 a.m. – 2:00 p.m., Monday-Friday

Wage: Commensurate with Experience/Education

General Summary:

The Administrative Assistant provides significant administrative support for the Knox County Foundation’s fundraising, scholarship and grant-making programs. The position will be responsible for supporting office activities to facilitate the efficient operation of the organization. Activities include preparing correspondence, organizing meetings, compiling and verifying data, and general clerical duties.

Essential Job Duties:

  • Works closely with the Foundation staff to draft, prepare, and/or review documents, reports, and correspondence to donors, grantees, board and committee members, and other community partners.
  • Arranges the Foundation’s meetings and events: prepares agendas and materials for all committee and board meetings, distributes information via e-mail and mail, communicates with Board and committee members on a regular basis to keep them informed of upcoming meetings. 
  • General clerical duties including photocopying/scanning, receiving incoming and preparing outgoing mail, creating and maintaining records and data related to people (ie: donors and grantees), and overseeing office supply inventory.
  • Maintains electronic and hard copy filing systems to ensure they are accessible, current, secure and well-organized.
  • Provides direct support to the Program Manager with the Foundation’s scholarship program including, but not limited to: communicating with applicants via e-mail and phone, compiling data into Excel spreadsheets, collecting, organization, and verifying applicant information, arranging presenters at the award ceremonies, and creating award certificates.
  • Assist the Finance Director with deposits, entering information into the database system, preparing quarterly and annual statements, and collecting data for reports.
  • Greet and direct visitors in a professional manner.
  • Answer, screen, and transfer inbound phone calls, and respond to requests and inquiries for information.
  • Additional duties as required.

A minimum of at least 5 years’ related experience in an office setting or Associates Degree, preferred.
